Job Description:

We are looking for a detail-oriented, reliable, organised, and self-initiated HR Operations Coordinator to support the smooth functioning of HR operations. This role focuses heavily on professional documentation creation, data management, and administrative HR support aligned with international MNC standards. It involves working directly with the HR Manager and supporting the HR team's internal needs distinct from recruitment functions.

What We’re Looking For 

  • Strong ability to create corporate-standard formal letters, documents, and HR communications
  • Experience in organising, maintaining, and building effective data systems on platforms like Google Drive
  • Passion for administrative work and managing logistics for HR events and internal activities
  • High energy, self-motivated, proactive, and enthusiastic about routine HR operational tasks
  • Attention to detail with strong skills in Microsoft Excel, including formula creation and manual data management
  • Ability to independently manage workload and deliver tasks efficiently without losing focus
  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • 2–4 years of experience in HR coordination, HR support, or administration (preferably in a corporate or multinational environment)
  • Strong understanding of HR operational processes, document management, and compliance requirements
  • Excellent communication skills (verbal and written)
  • Proficiency in Microsoft Excel and Word; experience with HRIS/HR software is a plus
  • Knowledge of local labour laws is preferred
  • Highly organised with a genuine interest in administrative HR tasks

Key Responsibilities

  • Create formal HR documents, letters, and policies that meet corporate and multinational standards.
  • Coordinate onboarding and offboarding processes, ensuring timely completion of documentation and orientation.
  • Maintain and optimise the HR department’s Google Drive by organising existing databases and creating new structured, easily accessible folders for efficient use.
  • Track employee attendance, manage leave records, and coordinate payroll-related data with the finance team.
  • Organise and manage internal HR events, job fairs, and employee engagement activities with a high degree of ownership.
  • Maintain accurate and up-to-date employee records (both digital and physical).
  • Prepare and update regular reports including attendance, leave summaries, onboarding status, and event reports.
  • Ensure compliance with company policies and relevant local employment laws.
  • Support the transition from manual to digital HR systems, ensuring accuracy and attention to data integrity.
  • Create, manage, and update manual Excel sheets using formulas and tools needed for HR tracking and reporting.
  • Provide general administrative support to the HR team, including assisting with audits, record-keeping, and other internal HR functions.
  • Focus solely on assigned tasks, maintaining consistency, accuracy, and enthusiasm for administrative and coordination duties without losing interest.
